Q. Can we have more than 99 cashiers or is that just a location limit. A. You can have up to 99 cashiers per location. If, for example, you have seven (7) locations then you can have approximately 700 cashiers.
A. There are two mandatory lines. "FOR DEPOSIT ONLY" Location, payment processing workstation, Cashier, Date, Time, Transaction Number The other 5 lines or fields are user definable. They usually contain such information as the treasurers name, the bank name, the account number and any other information deemed necessary by the end users.
A. The mandatory two lines are not parameterized. They are hard coded for audit reasons. These lines can be customized for the end user by Gateway Enterprises if the format is not acceptable. The text fields are infinitely customizable by the end user. If the field is blank it will not print.
Q What is printed on a document for validation. A. There are two lines that are fixed and one that is user definable. Location, payment processing workstation, Cashier, Date, Time, Transaction Number Quick Code, Description, Dollar amount of the Quick Code. The user definable line prints after the two mandatory lines and is set up in the Systems Factors area of the individual payment processing workstation.
Q. Is the validation fixed. A. Yes and no. If the Quick Code Validation Flag has been set to "ON" then the format is fixed as it is with the endorsement. The user can elect not to validate a document by checking the Quick Code Validation Flag to "OFF".
Q. Why might we use the validation. A. The validation is another audit tool that helps tie all documents handled during the course of a transaction together. The common thread is the "Location, payment processing workstation, Cashier, Date, Time, Transaction Number" line. This line identifies, uniquely, each document and transaction. If there were multiple documents, checks, money orders and other items, they can be pulled together like beads on a string where the string is the line referred to above. The validation proves very useful during audit and also during customer challenges to the transactions.
Q. Please explain mail in mode. A. The mail in mode is entered when the cashier signs in. The mail in mode turns off the receipt print, locks the cash drawer and increments an amount totalizer and a count totalizer. It is used primarily for low volume mail in type payments. These payments are not face to face meetings of customers and cashiers, rather a stack of envelopes is brought to the cashier for processing in a batch type mode.
Q. Must a payment processing workstation be dedicated to mail in mode or can you switch during the day. A. Any payment processing workstation can be used at any time during the day for mail in mode. It takes one mouse click or the depression of one function key during sign in to turn on the mail in mode. The mail in mode is automatically turned off when the cashier signs out.
Q. Is the mail in reconciled together or on a station by station basis. A. The mail in totalizers for both the amount and count are tracked by cashier, payment processing workstation and then rolled up into location. the individual quick codes, however, are not identified as belonging to mail in or any other process. This means that the mail in totals are memo in nature.
Q. Can a supervisor close a payment processing workstation at any time, or is End-Of-Day controlled by the consolidator. A. The supervisor can run End-Of-Day on a payment processing workstation at any time. However, please note, a payment processing workstation can be closed only one time during the day. If an EOD is run more than one time during the day then the last EOD set of totals will be the ones that are consolidated by me Consolidated Branch Office (CBO) software effectively destroying the first set of EOD totals from the payment processing workstation that had multiple EOD closings during the day. The End-Of-Day process for the individual payment processing workstations is not controlled by the CBO workstation.
Q. Since we are planning to send every transaction to our middle level real time (if the system is up) we won't want to keep a history of the transactions on the workstation. A. The software by default keeps the history for 30, 60, 90 or 180 days on the payment processing workstation. You would want to keep the history so you could have the video journal capability.
Q. Where do we keep a tape back up. A. Gateway Enterprises suggests that the Consolidated Branch Office (CBO) workstation be taped every night. We also suggest that the local cashiering server be taped every night.
Q. Can any cashier view and search the video journal. A. Any cashier can view and print from any payment processing workstation for the 30, 60, 90 or 180 day period. Additionally any one who has access to the CBO workstation can view any payment processing workstation's video journal for the 30, 60, 90 or 180 day period.
Q. What is the difference between the video receipt and video journal. A. There is no difference. The problem arises in that Gateway Enterprises has used the two term interchangeably.
Q. Is a Consolidate Branch Office consolidator necessary. A. Yes.
Q. Does the consolidator have to be a dedicated workstation at each location. A. No. The CBO software can reside on one of the payment processing workstations. Gateway suggests, however, that the CBO software reside on it's own workstation.
Q. Does the consolidator have to be a POS workstation. A. No.
Q. Where does the CBO software run. A. The CBO software will run on either a payment processing workstation, a dedicated workstation or a server. It should be noted, however, that the application code and the data base reside on the physical machine that is used for the CBO software.
Q. Does the CBO software run on the middle tier or on the POS server. A. No. The Consolidated Branch Office application code and data base reside on the physical machine that is used for the CBO software.
Q. Is the payment processing workstation and CBO software Y2K compliant. A. Yes, as far as Microsoft NT 4.0, Windows 98, 2000, XP, VB 6.0 and ACCESS 97 are Y2K compliant. The application code handles the change in year from 1999 to 2000 gracefully. All dates are stored as CCYYMMDD formats. In fact all dates and time use the ACCESS 97' date format, which is Y2K compliant.
Q. Today, if a customer pays for a summons, the summons number is printed on the receipt. Similarly, if they pay for property tax, the Burrough Block and Lot prints on the receipt. Do these numbers print on the receipt in Gateway Enterprise's Remittance Control software. A. Yes.
Q. What happens if the customer pays for 8 different summons. A. The cashier would enter the quick code for summons eight different times and the software will ask for the summons number eight times. When the receipt prints each line item prints on the receipt along with any captured information such as the summons number.
Q. Parking Violations Office has multiple reason codes per revenue code for reporting purposes. Can these be printed on the receipt - rather than the revenue code. A. The revenue code does not print on the receipt. Printing special reason codes on the receipt or on any document would be a modification to the existing software.
Q. Is printing the reason codes on the receipt a good idea. A. It depends on the customers needs.
Q. What type of person is the cashier supervisor. A. The cashier supervisor is probably the same type of person that supervises the cashiers currently.
Q. Who runs the Consolidated Branch Office software. A. Anyone that has been given authority and access to the software by the agency running the software.
Q. Most system attributes seem to be global. Can we have location parameters. A. Yes, furthermore some of the parameters are localized to the payment processing workstations for more flexibility.
Q. Can different change limits be set by location. A. Yes.
Q. Can different credit card minimums be set by location. A. Yes.
Q. On a check endorsement, do you print the location code. A. Yes.
Q. Can the check endorsement be different by location. A. Yes. |
